Bookings Terms and Conditions

We request all our clients to take time to read and understand the conditions of booking set out below prior to booking a trip with us. We strongly recommend that you also read the Essential Trip Information relating to your trip prior to booking to ensure that you understand the itinerary, style and physical demands of the trip you are undertaking.

Our contract

All bookings are made with Namas Adventure Ltd, trading as Namas Adventure. By booking a trip with us you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between you and us) and your booking will be accepted by us on this basis. The services to be provided are those referred to in your booking confirmation invoice.

Validity

Dates and itineraries are valid until the stated dates on our websites. Beyond the mentioned dates, itineraries are indicative only or can be made upon request.

Deposit requirement

You are required to pay a non-refundable per trip of the stated deposit, per person per trip for your booking to be confirmed. If your booking is made within 90 days ( 7201M+ Expeditions) 60 days (4000M - 7200M Expedition), or 45 days (Tours and treks) of the departure date then the full amount is payable at the time of booking. Please note that different deposit amounts are required for selected trips including Namas exclusive tour bookings.

Your details

In order for us to confirm your travel arrangements, you must provide all requested details with the balance of the trip price. Necessary details vary by trip; they include but are not limited to full name as per passport, date of birth, nationality, passport number, passport issue, expiry date, and any preexisting medical conditions you have which may affect your ability to complete your travel arrangements. On some more demanding trips, we also require you to complete and forward a Self-Assessment form.

Failure to provide the requested details may result in additional charges or non-refundable cancellation of your trip.

Payments

Namas Adventure Ltd

Deposits for Trekking and up to 7200M Expedition - Before 60 Days
The remaining balance should be paid 60 - 45 days before your itinerary departure.

Deposits for 7201M - 8849M Expedition - Before 90 Days
The remaining balance should be paid 89 - 70 Days before your itinerary departure.

Namas Adventure representative will provide relevant bank details for transfers.

For making payments through our online services we do not charge any extra amount for currency conversion. You can expect to receive an updated invoice from us within 24 to 72 hours of making an online payment. For Bank Transfers, your invoice confirmation will be sent once we verify that we received the funds. The reference on your credit card will appear as stripe/Namas which is operated by stripe booking/ Payment solutions. Stripe is a San Francisco-based company that provides payment solution services for Namas Adventure Pvt. Ltd.

3% Transaction fees apply on all credit card payments. Prices & surcharges

Our trip prices are subject to variable and seasonal pricing, both of which are standard practices within the travel industry. This means our trip prices may vary at any time in accordance with demand, market conditions, and availability. It is likely that different passengers on the same trip have been charged different prices. Your best option if you like the price you see is to book at that time. Once you have received a quote the price will be locked in provided you pay the required deposit prior to the quote’s expiry. Any reduced pricing or discounts that may become available after you have paid your deposit will not apply.

If you wish to cancel your booking to take advantage of a cheaper price, full cancellation conditions apply. The most up-to-date pricing is available on our website. Prices are based on currency exchange rates; note that prices may vary depending on which currency the booking is made. We will not surcharge any booking once paid in full.

Please note that a 3% transaction fee will be applied to all purchases made by credit card.
We will do what we can to mitigate against any rise in our operating costs and strive to keep prices

fixed. In the unlikely event that surcharges become necessary, the following conditions will apply:

Surcharges arising directly from a change in the world price of oil and levied by airlines, or agents acting for The Company, will be passed on and you will be invoiced accordingly.

Cancellation policy

Mountain Trip recognizes how difficult and disappointing it can be for climbers who must cancel expeditions that they have planned for a long time. Team members must also recognize that, due to the nature of planning expeditions and dealing with governmental permits and regulations, Mountain Trip also accrues significant expenses in the months prior to expedition departure dates. We must therefore adhere to a strict refund policy for all climbers. Trip cancellation and travel insurance are generally available for all expeditions. Our refund and cancellation policy is outlined below.

Trekking Adventure to 4000M, 5000M, 6000M, and 7200M Expeditions

60 days before the expedition free transfer to the next expedition date within 2 years.

59 - 45 days before the expedition, 75% refund
44 - 30 days before the expedition, 50% refund
29 - 7 days before the expedition, NO refund.

7201M - 8849M Expeditions

120 days before the expedition free transfer to the next expedition date within 2 years.

119 - 90 days before the expedition, 50% refund
89 - 60 days before the expedition, No refund

The Company’s agents and representatives, other than a Director of The Company, are not entitled to promise refunds for whatever reason, and The Company will not be bound by any such promises.

These booking conditions may only be waived in special circumstances, and in writing, by a letter from a Director of The Company

Cancellation by us

We may cancel a trip at any time up to 30 days before departure, subject to natural disasters/causes, wars, and emergency states ( political and health warnings). We may cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political instability, or other external events it is not viable for us to operate the planned itinerary. If we cancel your trip, you can transfer the amounts paid to alternate departure date. In circumstances where the cancellation is due to external events outside our reasonable control refunds will be less than any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess, or non-refundable flights.

Circumstances may arise where we are forced to alter dates, expedition duration, flight schedules, trekking routes, or hotel accommodation. We will try to inform you of any such changes as soon as we know of them.

No Guaranteed Outcomes

While it is one of our goals to help every climber on every Mountain Trip expedition reach the summit, Mountain Trip cannot guarantee that you will reach the summit. Any number of factors, including weather, the conditions encountered on the route, your personal level of fitness or ability, the abilities of your teammate (s), or any number of other circumstances might result in you and/or your team turning around before reaching the summit. Failure to reach the summit due to any reason associated with mountaineering, such as weather, team dynamics, route conditions, avalanche hazard, rockfall hazard, etc, or due to your lack of fitness or preparation is not the responsibility of Mountain Trip and will not result in a refund or a rescheduling of your expedition.

During an expedition, every effort will be made to adhere to the planned itinerary but it must be realized that with adventurous activities of this type, or by being in the developing world, or by visiting regions with limited infrastructure by virtue of their remoteness or otherwise, or with worldwide travel in general, changes to the program will occur from time to time. The Company accepts neither responsibility nor liability, for any ensuing costs, or the consequences of any such change, however, caused.

On any trip, our guides reserve the right to remove any person, for any reason. These reasons generally stem from a person jeopardizing the safety of themselves or another team member. This includes a person who is not physically able to climb at the level necessary for the chosen route. In all these cases, there are no refunds whatsoever, and the client will be responsible for any additional costs incurred in leaving the trip.

On assessing the conditions expected to be encountered in the mountains or the abilities of the Team Members, your Expedition Leader may decide to change any aspect of the trip, if he or she believes that to continue with the itinerary or activities, or any latterly agreed alternatives, would place anyone at undue risk.

Your Expedition Leader will do his or her utmost to ensure that any problems are solved for the benefit of the Team as a whole. Signing the consent form signifies your acceptance of the Expedition Leader’s authority to make decisions affecting the group or individuals. For instance, the Expedition Leader may require an individual, or individuals, to leave the expedition if they believe that a person or person’s health is at risk, if a person is not coping or may not cope with the physical or mental demands of the expedition, if an illegal act has been or may be committed, or conduct is, may become, or has been, detrimental to the safety, enjoyment or well-being of the group or of any individual within the group.

A client leaving an expedition at any stage, for whatever reason, will not be entitled to any refund nor to compensation unless agreed by a Director of The Company.

Transportation is incidental

The main purpose of becoming a team member is to join us on an expedition in the mountains. As such any transportation we provide or that you may contract for on your own is incidental to the trip. We suggest that you make sure you have time built into your itinerary for delays.

Transportation to and from your destination

We will designate a specific Team Meeting Day for your expedition. Transportation to the meeting point on your Team Meeting Day is to be provided by you. You must arrive in time to be ready to participate in a team meeting at the appointed time on the Team Meeting Day for your expedition. This probably means you will need to arrive as mentioned on your itinerary. Expedition climbing is very dynamic and we will provide you with a recommendation as to when you should book your flights to and from your destination. We suggest you book a ticket that allows you to change your flight with little effort or cost.

Lodging off the mountain

Mountain Trip will provide lodging per the Inclusions and Exclusions section above. Any additional lodging is your responsibility. 2 Nights bookings before the expedition and only 1 night after the expedition is the company’s responsibility once the client return to the mentioned city. Should the expedition end early, the company is not responsible for any additional hotel accommodation in the city other than that mentioned on the itinerary and brochure.

Responsibilities of Team Members

You are ultimately responsible for your own well-being, including making all necessary preparations to ensure good health and physical conditioning. You are responsible for understanding the conditions that may exist on the climb and choosing a climb that is appropriate for your abilities and interests. You are responsible for providing Mountain Trip staff and guides with an accurate representation of your fitness level, climbing ability, and the condition of your personal equipment.

You are responsible for having knowledge of all pre-departure information and for assembling the appropriate clothing and equipment for your climb.

While on the expedition, team members are responsible to maintain basic levels of hygiene and conducting themselves respectfully with other team members and members of the local population. If a guide feels that a team member is putting other members’ health or safety at risk, the guide has the discretion to remove a team member from an expedition.

Use our office staff and your lead guide as pre-trip resources to ensure that all your questions are answered. Travel insurance may help recoup expenses if you need to leave an expedition due to an illness. It is the clients’ responsibility to have these details checked with their insurance providers.

Team sizes described in this brochure are target sizes and may be increased or decreased at the discretion of The Company. We do undertake to ensure that leaders and support staff are supplied in appropriate numbers to ensure the principle objectives of the expedition can be achieved. Similarly, leaders named in expedition descriptions, anywhere in our literature or on our website, may also be changed.

We reserve the right to cancel any expedition which does not have sufficient people taking part to make it financially viable. By the same token, we will endeavor to ensure that an expedition runs if at all possible. This will be communicated by Namas team members to clients directly.

If an expedition is likely to be canceled under such circumstances, we undertake to inform you as soon as possible, but this may occur after final balances are due.

Anyone booked onto an expedition canceled by The Company will be entitled to a full refund. Anyone on such an expedition will be invited to transfer to another expedition and no transfer fee will be payable. Should you transfer to another expedition any difference in price will be invoiced or credited accordingly

Most of our expeditions (including treks) involve going to high-altitude and carry an inherent risk of altitude illness. Similarly, most of our trips visit remote locations or poorly developed regions where infrastructure is limited. In such places, the risks to health are increased and the ability to treat injury or illness effectively is reduced. Additionally, climbing and mountaineering, which includes treks that cross glaciated terrain or snow-bound passes, are hazardous activities with a risk of serious injury or death. By signing the consent form you acknowledge these hazards and your acceptance of the associated risks.

Neither The Company nor any of its representatives will be responsible for any illness, injury or death sustained on our expeditions, nor will they be liable for any uninsured loss of personal property.

Most expeditions have days in the itinerary that are included to provide flexibility in case of bad weather, or some other untoward event, and thereby increase the chance of your principle objective being achieved and for the expedition to be successful. If these days are not needed in order to achieve the aims of the expedition and the team decides to return from the mountains early, any additional costs incurred by you and associated with extra hotel nights, or services that would not otherwise have been provided nor were given in the published itinerary, must be met by you at the time.

Having made every effort to ensure the correctness of the policies, we cannot be held responsible for any inaccuracies.

Travel insurance

For all expeditions, you must have insurance that covers you for all of the activities, specifically those deemed to be hazardous, included in the itinerary and for any activities, you may undertake if traveling independently as part of an extension. You must ensure you have adequate cover for search, helicopter rescue, and repatriation in the event of a medical emergency. Your travel insurance provider must agree beforehand to meet the costs of any search, rescue, or recovery, for medical reasons, of you to the nearest appropriate medical facility even if prior authorization from the insurer may not be possible due to the remoteness of the recovery area or because medical expediency demands your recovery before such authorization could be received.

Proof of travel insurance is mandatory before starting the trek or expeditions. Standard policies often only cover medical evacuation to 4000m so make sure the policy you get covers trekking/ mountaineering as an activity up to trekking 6000m and mountaineering 7000M - 8900M. Some policies require that you pay for evacuation in Nepal up front and will reimburse you when you get home and submit the documents. Evacuation can cost up to $5000 so make sure that your policy will actually pay for any expenses while you are traveling. You only need to be covered on the policy for the days you will actually be trekking or mountaineering. Namas Adventure strongly encourages you to call your insurance company and check specifics before you arrive in Nepal. We don’t endorse any particular insurance company. If you are climbing one of the trekking peaks your policy will also need to cover "climbing" as an activity.

It does not happen often but if you are evacuated and want to make an insurance claim it’s mandatory to get a hospital report in Nepal as soon you get off the mountain. Often, trekkers with altitude sickness feel better once they get to a lower elevation, but it's important to get the proper medical documentation for claims. The hospital will charge you a fee of $150 for the medical report required by your insurance. You are responsible for any evacuation or medical bills that are incurred in Nepal. Most insurance companies will cover these costs for you before you leave the country, but some will want you to pay all costs out of pocket and then reimburse you. We suggest that you check your insurance policy and ensure that they will cover all costs upfront in the event of an evacuation. Some insurance policies will cover trip interruptions. This type of policy is useful in
the event your Lukla flight is canceled and you end up having to book a helicopter or even have to rebook your international flight. Our team will help you in obtaining any documentation requested by your insurance company.

The Company cannot be made liable for the consequences of strikes, industrial action, wars, riots, sickness, quarantine, government intervention, weather conditions, the failure of a scheduled airline, or other untoward occurrences, whatever they may be

In the event of civil unrest in a particular region, we undertake to inform our clients of the situation as soon as we have knowledge of it.

Flight delays (Nepal only)

Weather conditions in the Himalayas can change rapidly and aviation schedules are not as reliable as you might expect. The flight between Kathmandu and Lukla where the Everest Base Camp trek starts is frequently delayed and may be canceled for the day or several days in succession. In the event your flight is canceled we will either rebook your flight for the following day or attempt to get you on a chartered helicopter. Guests are responsible for the extra costs of helicopter flights which might be $550+ or more. If you end up taking a helicopter instead of your flight we will refund you $150 for the flight fare. Please collect the flight refund from the office in Kathmandu.

Here are some important points to keep in mind.

• We will book your flight to Lukla soon after you pay the deposit for the trek and send us your passport details. Please send your details as soon as possible so we can book you on the earliest flight.
• If your flight is canceled due to bad weather we will rebook your ticket for the following day. When we rebook your ticket it's likely you will be on a lower priority flight during the peak trekking seasons. This is out of our control as the earlier morning flights will have already been booked months in advance.

• The availability of helicopters depends on a number of factors including rescue requirements, prior booking commitments, and weather. We will do our best to arrange a helicopter but keep in mind that various factors are out of our control.
• Helicopter rates vary as a rule and increase when demand increases. Offers for helicopter flights displayed in the airport apply to advance bookings. The rates given by our team in Kathmandu may not always match what is offered locally on the mountain. Keep in mind that if an extra seat is available local staff in Lukla may attempt to sell the seat cheaper than we are offering. Extra seats if not sold immediately are basically a wasted asset so prices are always in flux.

• If helicopters are limited in availability they may only be available to shuttle guests to Phaplu which is an airstrip in the valley below Lukla. We can arrange the jeep from Phaplu to Kathmandu. Be prepared for a 10 to 14 hours journey on rough roads. If you have extra time in Nepal you might be better waiting an extra day at Lukla for the weather to clear.
• The Airlines and Helicopter companies often reroute planes and change confirmation details depending on conditions. Updates from our team reflect current conditions and plans frequently change.

Extra cost and exclusions ( Nepal only )

Our trekking/expeditions packages are all-inclusive but we suggest that you budget between $500 to $700 for extra expenditures on your trek/expeditions including tips. We also suggest you plan on having extra funds available in cash or on a credit card in case you need to book a helicopter in the event your flight is canceled.

• Unforeseen costs due to flight cancellation, weather conditions, etc. You are responsible for extra hotel nights ($60-$80/night) and meals in Kathmandu or Lukla that are a result of flight delays.
• Nepal entry visa ($40+ USD).
• All the meals are included on the trek but we only include breakfast while you are in Kathmandu. • We suggest a tip for the guide and porter after the trek - Plan on approximately 10% of the price of your trek.

• We don't include drinking water on the trek which you can buy a number of places for between $1 and $3 a bottle (it gets more expensive at higher elevation tea houses/camps). A better solution is to buy water tablets in Kathmandu for around $2 and treat the water (your guide can help you find the good places to fill your water bottle).

• The other things not included on the trek are like Wifi, charging batteries, and hot showers. Wifi is available in some tea houses for $3 to $5 an hour. Hot Showers are also available in a few of the tea houses for between $4 and $6. Charging electronic devices is possible in the tea houses and charging costs between $1 and $3 an hour.

Acclimatization

Our itineraries are designed to allow for adequate acclimatization time although everyone reacts to altitude differently. The best means to acclimatize is to decrease your rate of ascent and spend more time on the mountain. If you have extra days in Nepal we can arrange for you to stay at a tea house for several days before continuing with another group. If no other group is available we can arrange a private guide. We charge $75 for extra days all inclusive of meals and a guide and porter. All of our guides have practical experience in dealing with the symptoms of AMS and are Wilderness First Aid Certified. They also carry pulse oximeters to measure your blood oxygen level. Please respect the decision of your guide if he deems it unsafe for you to continue trekking/

climbing.

Fitness

Most of our trekking and expeditions tours are strenuous and challenging. We suggest that everyone joining our treks be comfortably hike all day. Treks consist of 6 to 9 hours of daily walking. We do encourage everyone to take a slow pace. Our larger groups will have multiple assistant guides so if some trekkers want a different pace they can trek ahead of the group and the lead guide will generally stay with the slowest members in the group.

Solo travelers

Unless stated, we generally don't charge solo travelers any extra fees. A single supplement charge will apply for solo expeditions or treks. Solo travelers can expect their own hotel room in Kathmandu but will need to share a room with other group members during the trek. If availability allows we will arrange private rooms on the trek as well upon request. Solo travelers who are not joining one of our group treks will be charged an extra $25 a day for a porter. We will inform you of the extra fee before your arrival in Nepal.

Early termination of tours

It is sometimes the case that trekkers finish ahead of schedule or they end up stopping a trek early for health or personal reasons. If this is the case please understand that we do not offer any refunds for unused days on the trek. Our costs are the same as we have an obligation to pay our guides and porters for the time they have committed.

Fare and prices

All fares and prices quoted are subject to availability. Prices are subject to change until full payment is received and voucher(s) are issued. Prices that are quoted include all taxes and fees unless we advises otherwise. New information.

Your voucher and departure point

Please present your voucher on arrival when our staff picks you up from the airport. The location of the departure point can be found in the description of the tour and is stated on your booking confirmation. We can not be held responsible for clients showing up late for their tours.

Availability

The travel products and services sold through this site are subject to availability and can be withdrawn without notice. Tour is confirmed when full payment is received.

Important

We request that you carefully check the dates on your voucher and to contact us immediately if these are not correct.

Currency

All trip costs are shown in USD. We do accept payments in GBP/EUR/AUD and relevant conversion will be presented upon inquiry. If you pay online your credit card company will determine the actual exchange rate.

Passports and Visas (Nepal)

The following are applicable visa fees upon entering Nepal. Ensure that you carry the funds with you before entering the country. A blank passport page and a passport-size photo are also required for the application at the time of entry. We suggest you bring the photo with you although they can be obtained on arrival for a small fee. Your passport also needs to have at least 6 months validity on the date you are entering Nepal. Check this as soon as you book your trek. It's no fun to figure this out at the last minute.
• US Dollars 25 or other convertible foreign currency equivalent there for 15 days
• US Dollars 40 or other convertible foreign currency equivalent thereto for 30 days
• US Dollars 100 or other convertible foreign currency equivalent thereto for 90 days

Refusal of service

We reserve the right to refuse service either in Kathmandu or on the trek. Fighting, heavy drinking, and verbal abuse of others in the group or of our guides or staff is unacceptable and is grounds for us to end our services at any time. Please be respectful to our staff and to other trekkers in the groups.

Acceptance of risk

You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. You will be visiting places where the political, cultural, and geographical attributes present dangers and physical challenges greater than those present in our daily lives. We use information from government foreign departments and reports from our own contacts in assessing whether the itinerary should operate. However it is also your own responsibility to acquaint yourself with all relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks attendant upon such travel.

Privacy policy

Any personal information that we collect about you may be used for any purpose associated with the operation of a Trip or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the Trip. We will otherwise treat your details in accordance with our privacy policy (available for viewing on our Website).

Claims & complaints

If you have a complaint about your trip please inform your group leader or our local representative at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means then any further complaint should be put in writing to us within 30 days of the end of the tour.

Acceptance of terms and conditions

When you make a deposit you must accept our terms of service. If you have any questions about any of our policies please do not hesitate to ask.

Applicable law

The laws of the United Kingdom govern these Booking Conditions to the fullest extent allowable. Any disputes in connection with a trip or these Booking Conditions must be initiated in the courts of the United Kingdom.

When making your booking it is implied and accepted that you have read and understood all these booking conditions and agree to abide by them.
